Now, that you completed the interactive lectures of the module, it’s time to put your knowledge into practice. In this online group exercise, in groups of 2-3 you will identify and define one process in your work context (1 process/group) and analyse it based on the theoretical framework provided in the e-learning material. You will also have to define a process improvement action that would help to make the process more efficient or effective. Nex you will need to create an action plan, a “project” to carry out your idea. Your will be guided by technical instructions that help to experience online teamwork as well.
Your task is to:
1. Identify a process from one of your work contexts (1/group), preferably one that you are unsatisfied with.
2. Create a simple flow chart of the process and create a short description, including the relevant information (for example participating entities, necessary documentation, average time of the task, etc.), “relevant” meaning characteristics that have critical influence on process efficiency/effectiveness.
3. Create a short analysis and evaluation explaining why you think that the chosen process is inefficient/ineffective. Specify which aspect(s) of the process needs targeting primarily: time, cost, or quality?
4. Suggest a modified process by providing a new flow chart and short description, explaining why it would be more efficient/effective. (We suggest planning with your available resources, as then you might be able to use the product of your work, however, you can choose to develop an ideal scenario).
5. Imagine that you form a project team to carry out the development. Define the main tasks that need to be done and order it into a Gantt-chart. (You will find a template for the Gantt-chart in the materials section.)
6. List your main stakeholders who need to be involved/managed in the project.
Remember: You don’t have to create a very detailed solution. Focus on making your concept simple but complete.
